Responsibilities
The Specialist, Health Staff Recruitment reports to the Sr. Manager, Health Staff Administration and is responsible for coordinating and supporting recruitment activities for qualified health staff deployed across the North American brands of Carnival Corporation. The role supports fleet operational readiness by maintaining recruitment workflows, applicant tracking, and candidate progression aligned with established staffing matrices and safe manning requirements.
Key responsibilities include coordinating recruitment workflows, ensuring effective applicant tracking, facilitating timely candidate communication. The Specialist reviews documentation to confirm alignment with required credentials, licenses, and experience prior to leadership review and supports the administrative components of the onboarding process to ensure an efficient transition of approved hires.
The position supports the operational readiness of the fleet by maintaining required health staffing levels aligned with established operational matrices and safe manning requirements. The Specialist also contributes to talent attraction efforts by supporting the development and execution of digital marketing and social media activities, assisting with multiplatform campaigns, and coordinating the department’s presence at trade shows and related recruitment channels. By preparing engaging content and monitoring marketing data under direction from management, the role helps improve candidate engagement and strengthen the medical talent pipeline.
Collaboration is essential, and the Specialist works closely with brand representatives, shipboard medical teams, shoreside health services, public health leaders, and external vendors. The role supports operations across four North American brands, encompassing more than 65 ships, 10 million annual guests, and over 100,000 team members.
Essential Functions:
HEALTH STAFF RECRUITMENT:
Coordinates recruitment activities for global health roles—including doctors, nurses, paramedics, medical support staff, and public health officers—ensuring processes are followed and timelines are met. Collects, analyzes, and prepares recruitment, staffing, and onboarding data for review by the Sr. Manager and leadership teams.
Supports routine reporting by maintaining accurate and timely datasets.
Tracks candidates through the Applicant Tracking System (ATS) and helps ensure accuracy of information in coordination with recruiters and hiring managers
Coordinates with talent acquisition partners by reconciling candidate progress, flagging delays, and following up on missing items to support timely hiring decisions.
Supports applicant evaluations by ensuring application files are complete, routing candidates to the appropriate hiring managers, and preparing materials needed for review
Facilitates interview logistics, including scheduling, gathering behavioral and technical interview reports, and preparing prescreening summaries for leadership review.
Conducts preliminary reference checks and verification steps, escalating discrepancies as needed to the Sr. Manager.
Communicates with candidates by providing status updates, requesting required documents, and addressing process related questions regarding the selection process, job offers, and onboarding.
Prepares and extends job offers under guidance provided by the Sr. Manager and tracks candidate responses.
Engages new hires in onboarding, by guiding them through ATS workflows, confirming all onboarding steps are initiated, and the appropriate onboarding agent or Global Talent Partner.
Monitors shared inboxes to ensure timely responses to candidates, talent partners, and collaborating teams, escalating urgent issues when required.
Supports compliance with data privacy and security requirements when handling candidate information, including proper use of electronic systems.
Prepares candidate packets and presents completed candidate files to the hiring committee for final decision-making by leadership.
Participates in quality improvement projects related to medical candidate recruitment, providing process feedback and helping implement improvements defined by management.
TALENT ATTRACTION:
Supports research activities by gathering information on applicant markets, digital trends, and recruitment techniques, and by contributing ideas to enhance outreach efforts.
Assists in implementing targeted digital marketing campaigns across approved platforms by coordinating posting schedules, preparing content packages, and ensuring materials are routed for proper review and approval.
Creates, edits, and prepares digital content for LinkedIn, Facebook, Instagram, and other recruitment channels following established brand guidelines and manager direction. Related channels following established brand guidelines and manager direction.
Monitors engagement on corporate social media channels related to medical recruitment, responds to basic inquiries, and escalates issues or trends to the Sr. Manager or Talent Partners as needed.
Supports Talent Partners by reviewing marketing materials for completeness, coordinating updates, and assisting with execution of recruitment campaigns to meet hiring needs.
Assists in organizing public talent acquisition events (e.g., career fairs, trade shows, information sessions) by coordinating logistics, preparing materials, and ensuring operational details are completed as directed by the manager
Collects and compiles data from digital marketing initiatives, prepares summary reports, and highlights basic engagement trends for manager review to support ongoing improvements in recruitment outreach.
CREDENTIALS AND ONBOARDING:
Coordinates the process for verifying applicant credentials (licenses, certifications, experience) by gathering required documentation, conducting preliminary checks, and preparing credential files for review by the Sr. Manager or hiring committee. Supports background check and credential verification workflows by initiating requests, tracking completion status, and following up with vendors or candidates as needed. Escalates issues that require management review.
Monitors compliance with credentialing requirements by maintaining updated records, flagging expiring documents, and ensuring files are complete before candidates advance in the hiring process.
Collaborates with Medical Staffing team members by providing candidate summaries, confirming onboarding readiness, and assisting with placement preparation for brand assignments based on established guidance from management.
Collects and relays feedback on onboarding processes, documenting candidate experiences and identifying routine issues. Provides recommendations to the Sr. Manager when process adjustments are needed.
Stays informed of regulatory updates, such as changes to credentialing or visa requirements, and promptly notifies the Sr. Manager so that appropriate process reviews or updates can be initiated.
Knowledge, Skills & Abilities:
Scope: The Specialist supports recruitment, credentialing, and onboarding operations for shipboard health staff across the North American brands. Scope includes day to day coordination of hiring workflows, maintenance of recruitment systems and documentation, and ensuring compliance with established processes and standards across a fleet of 65+ ships and a globally distributed workforce.
Problem solving: The role contributes to problem-solving by identifying delays or issues in recruitment pipelines, credential verification, and onboarding readiness. The Specialist identifies routine process gaps, recommends practical workflow adjustments, and escalates more complex or systemic problems to management.
Impact: The Specialist directly supports fleet readiness by efficiently supporting candidate progress through recruitment and onboarding, maintaining accurate credentialing records, and facilitating timely hiring decisions. Through consistent candidate communication and effective process execution, the role improves applicant experience and helps ensure only qualified, fully vetted medical staff advance to shipboard assignments.
Leadership: The Specialist supports recruitment and onboarding workflows by providing procedural guidance, documentation support, and process clarification to internal partners. The role promotes accurate execution of established processes and escalates issues requiring management review. This position does not include direct supervisory responsibility.
Qualifications:
A bachelor’s degree in marketing, human resources, administration, business, or a related field is required. Additional training or certification in recruitment, talent acquisition, digital marketing, or HR processes is preferred. Working knowledge of healthcare roles, credentialing requirements, and regulatory considerations affecting international medical recruitment is highly desirable.
A minimum of one year of experience in recruitment or talent acquisition is required, preferably within healthcare, global staffing, or regulated industries. Experience using applicant tracking systems (ATS), managing high volume pipelines, coordinating preemployment processes, and engaging candidates through digital communication channels is essential. Prior maritime healthcare experience, or experience supporting geographically dispersed clinical teams—is strongly preferred. Proficiency in LMS platforms and Microsoft Office Suite required.
Travel: Less than 25% with shipboard travel likely
Work Conditions: Work primarily in a climate-controlled environment with minimal safety/health hazard potential.
Physical Demands: Must be able to remain in a stationary position at a desk and/or computer for extended periods of time.
This position is classified as “in-office.” As an in-office role, it requires employees to work from a designated Carnival office in South Florida Monday through Thursday each week. Employees may work from their homes on Fridays. Candidates must be located in (or willing to relocate to) the Miami/Ft. Lauderdale area.
