Responsibilities
Supports the growth and enhancement of the department's activities, coordinating with various teams both shoreside and shipboard, within CCL and external partners. Helps facilitate business needs across conditions that vary constantly. In addition, performs all administrative duties (meetings, vendor setup, document retention, etc) as it pertains to the office of the SVP of the department.
Essential Functions:
- Collect and process various forms and documentation (work permits, travel, joining and OK to board letters, clearances for operations with local authorities, etc) for vendors for new builds, in service projects and/or dry-dock projects. Ensure proper communication with vessels for coordinating ship visits including cabin reservations, clearance for ports and early access, among other communications.
- Build and develop strong relationships with contractors, designers, and shipyards. This includes constant communication of guidelines and procedures to meet policies and services standards (billing process, determining what is reimbursable, in service protocols, etc.). Ensure guidelines are followed and escalate issues as needed.
- Coordinate shipboard traveling managers across teams with travel arrangements as needs arise. Coordinate CPS (Crew Personnel System) movement for refurbishment shipboard supervisors. Keeps calendar to track in office time.
- Track and analyze contractor travel data from the portal and run reports for project teams to ensure they have all required information and visibility related to travel requests, travel time and adherence to budget.
- Coordinate internal meetings and external meetings with vendors. Prepare meeting location, technology, presentations/agendas and meals, as required.
- Responsible for the management of the Department’s Vendor Database, ensuring that all contract information is entered into the database in a timely manner for the project team.
- Serve as Time Card Coordinator (TCC) for processing departmental timecards; Manage Kronos entries and keep track of PTO, Sick Days, Off-site and Free days.
- Act as the department coordinator for Document Retention and Management according to the company’s policies.
Qualifications:
- Associate’s Degree required
Knowledge, Skills and Abilities:
- Proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook). Must be detail-oriented and possess excellent analytical, organizational, written and verbal communication, and interpersonal skills. Ability to maintain confidentiality and work effectively in a multi-tasked, fast-paced environment, under tight deadlines; and be able to analyze and resolve issues independently. Must have good judgment and be able to work independently with little supervision.
Physical Demands: Must be able to remain in a stationary position at a desk and/or computer for extended periods of time. Requires regular movement throughout CCL facilities.
Work Conditions: Work primarily in a climate-controlled environment with minimal safety/health hazard potential. May be requested to work a different shift.
This position is classified as “in-office.” As an in-office role, it requires employees to work from a designated Carnival office in South Florida Tuesday through Thursday each week. Employees may work from their homes on Mondays and Fridays. Candidates must be located in (or willing to relocate to) the Miami/Ft. Lauderdale area.

- Sick Time – All full-time employees receive 80 hours of sick time each year. Part-time with benefits employees receive time off based on the number of hours they work, with a minimum of 60 hours each year.
