The Fleet Technical Documentation Coordinator is a key support resource within the Fleet Technical Document Center (FTDC), responsible for managing critical administrative tasks, organizing technical documentation, and facilitating communication across internal and external stakeholders. This role helps streamline processes and enhance overall productivity, allowing the technical team to focus on core drafting and design activities. The candidate will regularly handle ship technical documentation and should have a foundational understanding of reading architectural and MEP (Mechanical, Electrical, Plumbing) plans. Key responsibilities include maintaining and organizing large digital databases, supporting reporting functions, and implementing process improvements using Excel (or similar tools) to ensure efficiency in documentation management and organization.

Essential Functions:

  • Organize and maintain the FTDC’s current digital databases, including technical drawings, files, and manuals in accordance with internal CCL standards. Develop and run Excel VBA codes or similar tools to expedite data organization and ensure efficient data retrieval. Regularly update and standardize document naming, storage, and archiving practices to align with CCL protocols.
  • Update and maintain internal project trackers to ensure all tasks, deadlines, and milestones are accurately recorded. Develop and generate bi-weekly reports using Power BI or similar tools to monitor workload, FTDC performance, and project status, providing actionable insights for management. Identify and propose improvements to administrative and documentation processes to enhance efficiency, accuracy, and compliance.
  • Liaise with Project Managers and external vendors to gather and distribute required drawings and documents for various projects. Maintain an up-to-date internal drawing index by tracking revisions and completed updates. Assist in coordinating the exchange of technical documents, acting as a bridge between the FTDC, external vendors, and other departments.
  • Manage communications with shipboard and shoreside personnel, ensuring they are promptly informed of newly updated or approved drawings. Draft, review, and distribute emails, bulletins, and memos to maintain clear and consistent communication regarding project progress, documentation changes, and FTDC updates.
  • Identify and propose improvements to administrative and documentation processes to enhance efficiency and compliance. Support compliance efforts by ensuring proper record retention and organization of technical documentation according to regulatory and internal standards. Assist with internal audits and documentation reviews as needed.         
  • Performs other duties as assigned.

Qualifications:

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) with advanced Excel skills (VBA coding preferred).
  • Ability to read and interpret Architectural, Mechanical, Electrical, and Plumbing (MEP) plans.
  • Experience with Power BI or similar reporting tools.
  • Knowledge of document control systems and version management.   
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and manage multiple priorities.
  • Detail-oriented with a strong focus on accuracy and compliance.
  • Ability to liaise effectively with technical teams and external vendors.                                 
  • 3+ years of experience in a technical role, with experience in document management and project tracking.
  • Associate’s Degree in Engineering, Architecture, Construction Management, or a related technical field.

  • Knowledge:  Understanding of workplace policies and procedures / Familiarity with team collaboration tools and techniques.
  • Skills:  Strong time management and organizational skills
  • Abilities:  Ability to maintain reliable and consistent attendance / Capacity to be punctual and meet deadlines / Ability to collaborate effectively with colleagues and work as part of a team / Demonstrated professionalism in all interactions and tasks.            

Physical Demands: Must be able to remain in a stationary position at a desk and/or computer for extended periods of time.

Travel: No or very little travel likely

This position is classified as “in-office.” As an in-office role, it requires employees to work from a designated Carnival office in South Florida Tuesday through Thursday each week. Employees may work from their homes on Mondays and Fridays.  Candidates must be located in (or willing to relocate to) the Miami/Ft. Lauderdale area.

    • Sick Time – All full-time employees receive 80 hours of sick time each year.  Part-time with benefits employees receive time off based on the number of hours they work, with a minimum of 60 hours each year.
