Responsibilities
The Receiving Coordinator will support the department supervisors with their respective roles that include the return of freight back to vendors, supporting and reaching out to vendors and our purchasing team to get shipment details when vendors forget to provide Carnival details. Reach out to our ships for Amazon shipments and support vice versa when ships reach for their due shipments. This role will also support moving freight when needed with the forklift, reach truck and pallet jack. In addition, logging and keeping track of shipments being sent back to the mailroom for a return to vendor. Maintaining a so-called vendor access list for the respective homeports and help review any large shipments that may need a loading plan from the ship. This position will also assist with the truck ordering of temperature-controlled trailers, frozen and chilled.
Essential Functions:
Resolve shipments that arrive with no paperwork or missing important details like ship’s name, PO number, department name, includes Amazon shipments
Act as liaison between corporate port operations and warehouse for our destination ports.
Process return to vendor freight via mailroom and other logistic partners.
Monitor and complete vendor access lists for our homeports
Review container and airfreight pre-alerts for bulk shipments and overweight, oversized items
Prepare pallet counts for frozen / chilled food consolidations and order trailers
Performs other duties as assigned
Knowledge, Skills & Abilities:
Scope: The Receiving Coordinator plays a critical role in ensuring smooth logistics and accurate documentation for inbound and outbound shipments across multiple homeports and destination ports. This position supports department supervisors, vendors, purchasing teams, and shipboard operations by managing freight returns, resolving shipment discrepancies, and maintaining vendor access lists. The role also involves hands-on operational tasks such as moving freight using forklifts and pallet jacks, preparing loading plans, and coordinating temperature-controlled trailer orders for frozen and chilled consolidations.
Problem solving: Shipment Discrepancies: Quickly identifies and resolves issues such as missing paperwork, incorrect PO numbers, or incomplete vendor details. Vendor Coordination: Acts as a liaison to clarify shipment details and resolve communication gaps between vendors, purchasing teams, and ships. Logistical Challenges: Develops solutions for oversized or overweight shipments, including creating loading plans and arranging specialized trailers. Process Improvement: Implements tracking systems for returns and vendor access lists to streamline operations and reduce recurring issues.
Impact: Operational Efficiency: Ensures timely and accurate handling of shipments, reducing delays and preventing disruptions in supply chain operations. Cost Control: Minimizes errors related to missing paperwork or incorrect shipment details, avoiding unnecessary freight costs and vendor disputes. Compliance & Safety: Maintains proper documentation and vendor access protocols, supporting compliance with port and corporate standards. Customer Satisfaction: Facilitates smooth coordination between ships, vendors, and corporate teams, ensuring ships receive critical supplies on time.
Leadership: Cross-Functional Collaboration: Builds strong relationships with corporate port operations, warehouse teams, and shipboard leaders to ensure alignment and efficiency. Vendor Management: Maintains professional communication with vendors and logistic partners, setting clear expectations and fostering accountability. Operational Guidance: Supports supervisors by providing accurate shipment data and assisting with freight movement, demonstrating reliability and adaptability. Continuous Improvement: Identifies gaps in documentation and proactively recommends process enhancements to strengthen supply chain integrity.
Qualifications:
High School Diploma or GED.
Bi-lingual with ability to speak and write English and Spanish. Great communication skills and open minded for new ideas.
Minimum 1 to 2 years related experience or training in warehouse operations or equivalent combination of education and experience.
Knowledge of keeping track and logging of orders to support reverse logistics.
Knowledge in using Microsoft Word, Excel and Outlook.
Able and certified to operate a forklift.
Understanding movements over the road or via air. Having worked in a fast-paced warehouse environment. Having the knowledge of how to operate different types of forklifts, pallet jacks.
Ability to work in a warehouse environment Able to safely operate different types of equipment to move freight.
Travel: No or very little travel likely
Work Conditions: Work primarily in a climate-controlled environment with minimal safety/health hazard potential.
Physical Demands: Must be able to remain in a stationary position at a desk and/or computer for extended periods of time.
This position is classified as “in-office.” As an in-office role, it requires employees to work from a designated Carnival office in South Florida Monday through Thursday each week. Employees may work from their homes on Fridays. Candidates must be located in (or willing to relocate to) the Miami/Ft. Lauderdale area.
