The Specialist, Contract Administration will work among a contract team responsible for portions of the contract lifecycle for agreements negotiated exclusively by Carnival Corporation’s North America Supply Chain team. This includes drafting, evaluating, and executing contracts, managing database and issuing reports. The Specialist will ensure all contracts adhere to business requirements, legal policies, and workflows. As required, they will collaborate externally with Vendors and internally with various departments to obtain required feedback and approvals, and promptly escalate any issues.

Essential Functions:

  • Contract Lifecycle Management: Overseeing sections of the contract lifecycle, from initiation to renewal or termination, ensuring compliance with company policies and legal requirements. This includes drafting, reviewing, negotiating, executing and manage reporting through termination.
  • Contract Management: Utilize Carnival’s Contract Management System (CMS) to route contract documents for approval and signature; ensure all relevant supporting documentation is uploaded into CMS; build and manage reporting that alerts sourcing managers on renewals and termination dates.
  • Stakeholder Collaboration: Working closely with external suppliers and internal stakeholders such as legal, compliance, tax, risk, data privacy, and supply chain managers, to ensure contract terms align with business objectives and compliance requirements
  • Reporting and Analysis: Provide accurate reporting of the status of contracts and other ad-hoc reporting required by Supply chain team to support strategic plans associated with spend categories (IT, Marketing, Entertainment, HR, etc.)

Qualifications:

  • Bachelor’s degree in Business Administration, Law, Supply Chain or other applicable discipline
  • 3 years’ relevant experience managing corporate contracts. Experience utilizing a CMS tool (Ironclad, Coupa, or the like) from drafting, redline review, approvals and beyond.
  • Strong knowledge of legal requirements and standard contractual provisions involved with corporate contract law and terms of use.
  • Build relationships and collaborate with cross-functional teams to understand business needs
  • Ability to work in a fast-paced business environment
  • Microsoft 365 Suite
  • CMS tool such as Ariba, Coupa, IronClad
  • Corporate contract management experience.  This position does NOT manage or support bids.
  • Strong communication and interpersonal skills 
  • Navigate responses to redlines to accelerate agreements.
  • Drive continuous process improvements
  • Maintain accurate and up-to-date contract records and documentation.
  • Strong organizational skills to manage and prioritize multiple contract review/negotiation efforts concurrently.
  • Excellent oral and written communication skills

  • Communication and Interpersonal Skills: Excellent communication skills to effectively convey complex information and negotiate with finesse; Maintain clear and effective communication with all parties involved in the contracting process.
  • Project Management Skills: Strong planning and project management skills to handle multiple contracts and meet stringent deadlines
  • Legal Knowledge: Deep understanding of corporate contract law, terms and conditions, and the ability to interpret and apply legal principles to various contractual scenarios
  • Problem-Solving Abilities: Ability to identify risks, opportunities, and loopholes within contracts and provide solutions
  • Collaboration: Proven ability to work collaboratively with various departments, including supply chain, risk / data privacy, tax, legal, and compliance team.
  • Calm Under Pressure: Emotionally intelligent, logical, and reasonable to manage expectations as they will face internal pressure to close contracts quickly.
  • Relationships: Build relationships and collaborate, as required, with cross-functional teams (legal, risk, data privacy, tax, insurance, stakeholders, etc.) to develop responses, accelerate agreements, drive continuous process improvements.

Physical Demands:  Must be able to remain in a stationary position at a desk and/or computer for extended periods of time. 

Travel:  None or very little travel likely.

Work Conditions:  Work primarily in a climate-controlled environment with minimal safety/health hazard potential. 

This position is classified as “in-office.”  As an in-office role, it requires employees to work from a designated Carnival office in South Florida Tuesday through Thursday each week. Employees may work from their homes on Mondays and Fridays.  Candidates must be located in (or willing to relocate to) the Miami/Ft. Lauderdale area. 

Offers to selected candidates will be made on a fair and equitable basis, taking into account specific job-related skills and experience.

    • Sick Time – All full-time employees receive 80 hours of sick time each year.  Part-time with benefits employees receive time off based on the number of hours they work, with a minimum of 60 hours each year.
