Responsibilities
Compliance Refurbishment will oversee the daily operations of the ADA remediation program to ensure that projects are developed on time in compliance with ADA standards and regulations. This role requires close collaboration with the ADA management team to establish project timelines, coordinate schedules, and delegate tasks to achieve successful project completion while meeting business goals.
Responsibilities also include assisting with project budgets, adhering to project plan guidelines, maintaining thorough documentation, preparing presentations, attending meetings with the team, contractors, and stakeholders, and following up with team members to monitor the progress of assigned tasks. The coordinator will also address any outstanding issues to ensure successful project completion.
Essential Functions:
- Manage daily operations of the ADA remediation program: Oversee the daily activities of ADA remediation projects. Collaborate with the ADA management team to set project timelines, coordinate schedules that align with project goals and deadlines, and monitor deliverables and milestones. Assist with urgent requests in Infoship.
- Maintain comprehensive documentation: Keep thorough records of all ADA project activities, such as accessibility audit reports, remediation plans, punch lists, certification audits, and self-certification documentation. Document the progress, changes, and issues that arise during ADA project planning and execution. Track progress on remediation efforts and assist in preparing status reports for regular distribution. Prepare documentation to enhance communication among the ADA Remediation team, project teams, internal departments, and external consultants. Gather and analyze data related to project performance and accessibility outcomes. Utilize data insights to promote continuous improvement in ADA remediation processes. Establish a knowledge base of tools, approved products and solutions, and resources for remediation. Help collect, file, and share the contractors’ documentation from pre- and post-dry docks.
- Follow up with the ADA, Design, and Refurbishment Team members: Monitor the progress of assigned tasks to ensure they remain on track. Provide support and guidance to team members as necessary. Respond to inquiries regarding ADA compliance efforts and project details. Assist in addressing any outstanding issues to guarantee successful project completion.
- ADA punch list management: Verify the necessary corrections to achieve compliance and follow up with the PMs and contractors regarding ADA punch list items to close out projects effectively. This involves organizing contractors' ship visits/sailing, facilitating corrections, coordinating with relevant departments, and communicating with the Ship and Shipboard management. Maintain detailed records of all non-compliant items and resolutions, ensuring accurate and up-to-date documentation. Assist in developing corrective and preventive action plans to mitigate risks and perform root cause analyses. Prepare reports on findings related to non-compliance, trends, and issues to raise awareness. Participate in quality improvement initiatives.
- Assist with project budgets and forecasts: Support the team in preparing budget tracking forms, monitoring budgets against projections, and flagging deviations for the ADA projects. Generate and distribute weekly reports from InfoSHIP to the team, assign transactions to projects, and collaborate with the Finance Department to reclassify transactions as necessary.
- Attend and facilitate meetings with the team, contractors, and stakeholders:
- Facilitate meetings to discuss the ADA project's progress, challenges, improvements, and next steps. Prepare the meeting agenda and take notes to share afterward. Assist the team in promptly addressing any questions or concerns raised.
- Prepare ADA remediation presentations and organize ADA training: Develop presentations to effectively communicate the status, findings, and recommendations of the ADA project. Schedule training sessions for the team on best practices for ADA compliance, accessibility principles, and remediation techniques, and help prepare the training materials. Contribute to the development of educational resources to promote ADA awareness across departments.
- Process improvement: Develop and suggest enhancements for ongoing ADA compliance and remediation strategies and processes. Document lessons learned and establish and maintain best practice guidelines for future accessibility projects.
Qualifications:
- Business Administration, Project Management, or a related field.
- 2+ years of experience in related fields
- Proficient with MS Excel, MS Project, Word, PowerPoint, and Adobe Acrobat or Bluebeam.
- Project management experience preferred.
Knowledge, Skills and Abilities:
- Proficiency in project management software and tools. Exceptional verbal and written communication skills to collaborate effectively with team members, contractors, and stakeholders. Ability to identify and resolve issues quickly and efficiently. Strong organizational and time management skills to handle multiple tasks concurrently. Experience with project and program management principles, budget management, resource allocation, and understanding of ADA standards and regulations is preferred.
Physical Demands: Must be able to remain in a stationary position at a desk and/or computer for extended periods of time. Requires regular movement throughout CCL facilities. May need to stand for long periods of time.
Travel: Less than 25% with shipboard travel likely
Work Conditions: Work primarily in a climate-controlled environment with minimal safety/health hazard potential. May be requested to work a different shift.
This position is classified as “in-office.” As an in-office role, it requires employees to work from a designated Carnival office in South Florida Tuesday through Thursday each week. Employees may work from their homes on Mondays and Fridays. Candidates must be located in (or willing to relocate to) the Miami/Ft. Lauderdale area.
