Job Description:

We are currently seeking an IT Vendor Management Analyst. This position is responsible for analyzing and overseeing the performance of contracted vendors across IT at Carnival, and particularly within the North American infrastructure, security, and corporate IT organizations.   This position will report into the Vendor Management Office (VMO) within IT Strategy & Planning.  Duties include analyzing vendor performance to assess compliance-to-contract; identifying opportunities for consolidation and for spend savings, and identifying contract performance deficiencies or areas of performance improvement.

Essential Functions

  • Validate funding/budget that can be appropriated for every purchase.
  • Process requisitions and invoices from technology vendors while improving invoice management process to strengthen controls, maximize system resources, and improve efficiency and productivity.
  • Review / reconcile receipt of goods and services vis-à-vis contracts, P.O.s, and invoices, and ensure accurate internal accounting of costs (capital vs. operational).
  • Calculate, review, and validate invoices ensuring that all information is accurate.
  • Ensure timely payments of vendor invoices and expense vouchers and maintain accurate records and control reports.
  • Review service invoices for validity and accuracy and approve invoices for payment.
  • Manage the procedures (with Treasury) involved in depositing cash in support of wireless invoice payments.
  • Manage payable functions including maintenance of vendor master and owner of travel and expense report processing. Ensure adherence to company guidelines for accounts payable policies, systems, and procedures.
  • Responsible for ensuring departmental compliance with established accounting policies and procedures, including all Sarbanes-Oxley policies and procedures as they relate to the daily operations of the business.
  • Work closely with the internal/external auditors during quarterly and monthly audits.
  • Identify and track vendor issue escalations and resolutions.  Participate with business partners in resolving escalations.  For strategic vendors, obtain vendor contract performance data directly from such vendors and report out to business partners.  Where performance is deficient with a strategic vendor, develop a remediation plan or an exit strategy in collaboration with the impacted business partners.
  • Coordinate with business partners to aggregate vendor contract performance data and follow-through with business partners in obtaining contractual remedies, developing remediation plans with the vendors, and enable vendor transition / exit plans, as necessary.
  • In consultation with business partners and VMO staff, aggregate and report on business partner and vendor plans, progress, and results.
  • Consistently look for potential vendor consolidation and cost savings.  Develop reporting to identify areas of opportunity and objectives for efficiency or productivity gain.
  • Coordinate with business areas and vendors on contracting and invoicing process improvements and assist in working with vendors on corrective action programs or in implementing value-add items where necessary.
  • For strategic and other selected vendors, monitor and report on vendor performance to contract (e.g., service level agreement (SLA) attainment or deliverable schedule adherence), proactively identifying areas for correction or enhancement of value-add (such as where a vendor continuously meets service levels).
  • Plan, coordinate and participate in account reviews with strategic and other selected vendors to ensure business relationships are fostered and maintained.  Determine opportunities where such vendors can improve performance and / or lower cost.
  • Assist, as requested, with the implementation of any negotiated scope changes to contracts in the form of purchase orders, invoices, or statements of work.
  • Develop and maintain strong working relationships with business partners and actively represent the VMO with the other cross functional teams as necessary.
  • Develop standard and ad hoc reports for the CIO Council, Executive Leadership Team, and VMO to support vendor management, compliance validation, operational oversight, and overall vendor spending.

Minimum Qualifications

  • Bachelor’s Degree Preferred
  • 5 or more years’ experience analyzing financial data or purchasing experience
  • Excellent oral and written communication skills
  • Excellent listening and interpersonal skills
  • Self-directed; able to prioritize competing demands
  • Ability to analyze high volumes of materials
  • Team-orientation
