Job Description:

We are seeking a Health Systems Cooridnator to support the various health systems platforms used by the medical department including electronic health records, medical staffing databases and property management systems. Collect, tabulate, input and organize data between health systems and update user access. Assist develop and maintain health system training documentation. Process medical records requests in full compliance with data privacy regulations and policies.

Essential Functions:

  • Health Systems Support
    • Point-of-contact for day-to-day health systems support requirements.
    • Escalates user feedback, suggestions and issues to supervisors.
    • Collect, enter and organize data from health systems.
    • Participates in workflow optimization reviews and create user documentation using applications such as Microsoft Visio.
    • Maintains accurate inventory and equipment location of health system related equipment and processes requests for replacement or repair.
    • Maintain accuracy of Medical Formulary within the Electronic Health Record Platform.
    • Ensure accuracy of data exchange between the EHR platform and shipboard.
  • User Account Management
    • Facilitates activation and deactivation of user accounts in electronic health record (EHR) platform and other health systems.
    • Process password reset requests and basic troubleshooting for user access errors.
    • Perform periodic review of active user accounts to ensure current users list.
  • Process Medical Records
    • Verify the validity of patient medical records requests prior to processing
    • Organize patients' requested health information and ensure files are only transferred via secure method in compliance with internal and external policies such as HIPAA and EU-GDPR.
    • Provides analysis on the volume and types of requests received.
    • Coordinate health information transfers with Legal and/or Compliance departments.
    • Triage, organize and upload medical records outside the EHR to the relevant health systems
  • Training and Development
    • Assists in creating training documentation using Microsoft Office Suite and Adobe Acrobat Pro and monitor training compliance.
    • Perform basic evaluation of user compliance by reviewing patients chart.
    • Participate in health system support groups to improve utilization of the systems.
    • Coordinate deployment and training schedules for users and arrange conference calls as needed.
    • Coordinate logistics of simulation exercises with the shipboard medical team and maintain accurate reports.
  • General administration
    • Participate in ad hoc projects and other duties as assigned.
    • Remain attentive and responsive to various needs of the business outside the direct area of practice.

Qualifications:

  • Associates degree in relevant field preferred
  • Minimum 1 year of experience in the following fields preferred,   Informatics with exposure to Electronic Health Records and/or other Healthcare applications
  • Ability to thrive in a fast-paced environment, while prioritizing workloads.
  • Proficiency in both basic and advanced IT applications used in business and healthcare settings.
  • Excellent interpersonal skills and the ability to work with various teams.
  • Problem-solving skills to research and resolve issues.
  • Proficiency in Microsoft Office Suite (Word, Excel, Visio, Outlook, PowerPoint) and other Adobe Acrobat Pro.
