Job Description:

We are currently seeking a Clinical Staffing Coordinator! The Clinical Staffing Coordinator will support Clinical Staffing programs, projects and activities. They will also provide administrative support for Recruitment, Credentialing, Scheduling and Training of seagoing clinical staff.

Essential Functions:

  • Accurately completes tasks associated with Recruitment, Credentialing, Scheduling and Training of seagoing clinical staff
  • Tracks clinical staff from point of initial contact during application, through the recruitment, hiring and on-boarding processes
  • Assists with scheduling, review and validation of initial screening interviews for all medical staff, using online application, interview and hiring software, video conference tools and other pre-employment and on-boarding assessment and tracking platforms
  • Collaborates with Talent Acquisition to advance candidates through each stage as quickly as possible
  • Ensures that recruiters receive timely feedback regarding actionable items for approved applicants
  • Works closely with Scheduling teams to ensure staff have the necessary visas, travel arrangements, and joining instructions
  • Coordinates collection, approval and filing of pre-joining serology and administration of vaccination records
  • Accurately tracks ongoing validity of medical staff certifications, accreditations, licenses, and registrations (e.g., ACLS, PALS, ATLS, XRAY training)
  • Accurately tracks and assists with coordinating logistics of medical staff training requirements opportunities (both internal and external)
  • Assists with clinical scheduling considerations such as team skill and experience mix, team dynamics, staff preferences, and other itinerary specific requirements
  • Anticipates staffing requirements in advance of acute shortages or complement increases so as to minimize costs, improve individual morale, and strengthen team continuity.
  • Tracks departmental communications with shipboard medical leadership teams to identify potential candidates for promotion or performance management.
  • Responds in a timely and informative manner to medical staff questions about course scheduling and reimbursement
  • Coordinates the scheduling of medical staff courses and required training at direction of Manager
  • Collaborates with Staffing teams of other brands when operationally necessary
  • Provides administrative support to Clinical Staffing Manager as directed (such as the preparation, distribution, filing and tracking of written documents, spread sheets, meeting minutes and educational content)
  • Accurately provides cross coverage for other roles upon request of Manager
  • Effectively supports ad hoc and non-recurring projects while still satisfying requirements of regular daily assignments
  • Reviews receipts for accuracy and appropriateness, and obtains approval from Manager on all medical staff reimbursement approvals and requests (training courses, visas and travel expenses) according to Company or departmental policy
  • Demonstrates sensitivity to cost effectiveness within all aspects of departmental administration

Minimum Qualifications:

  • High School Diploma or GED is required; Associate’s degree or equivalent college coursework is preferred
  • Minimum 2 years’ experience in administrative support role
  • Experience within administrative healthcare services preferred
  • Ability to thrive in a fast-paced environment, while prioritizing workloads
  • Excellent interpersonal skills and the ability to work with various teams
  • Analytical and logistics skills
  • Strong communication and organizational skills
  • Proficiency in Microsoft Outlook, Word, Excel and Power Point
